How it works
- Voco answers the call. Any time of day or night, Voco's AI handles the conversation and captures the caller's name, phone number, email, the reason for the call, the property address and the urgency.
- Voco analyses the call. Maintenance-related calls (repairs, faults, leaks, broken items and similar) trigger the integration. General enquiries, wrong numbers and duplicate reports are deliberately ignored, so your job sheet stays clean.
- The issue is created in Fixflo. A titled issue with the full fault description, the caller's contact details and the property address. Urgent and emergency issues arrive with an "URGENT: " prefix so they stand out.
- Your team reviews, or it goes live automatically. Issues arrive as drafts for your team to confirm by default. Switch on "Log issues automatically" and they are committed straight to your live job sheet.
Built in from the start
Human in the loop by default. Drafts mode means nothing goes live in Fixflo until your team has looked at it. Automatic logging is one toggle away, and you can switch at any time.
Urgency flagging. Issues classified as urgent or an emergency carry an "URGENT: " prefix on the title, so whoever opens Fixflo first knows what to action.
One issue per call. Enforced at the database level, so a long or repeated conversation never creates duplicate tickets.
Every issue traces back to its call. The Integrations page in Voco lists every maintenance report with its status and a link to the original conversation.
Nothing fails silently. Failed submissions retry automatically up to three times, the last error is shown on your Integrations page, and a draft that cannot be committed automatically is preserved in Fixflo for manual review.
Credentials stay safe. Your Fixflo API key is encrypted at rest, never displayed again after saving, and the connection is tested live against Fixflo before anything is stored.
Set up in about 10 minutes
There is no coding involved. You create an authentication token in Fixflo (Setup, then Integrations, then Add token), paste it into Settings and then Integrations in Voco along with your Fixflo web address, and choose whether issues arrive as drafts or go live automatically. Voco checks the connection before saving, so you can never end up with a broken setup.
