BetaEmail for UK small businesses

Every enquiry email sorted, and the reply drafted

Voco reads the emails you forward to it, sorts each one as an enquiry, booking, complaint, supplier message or spam, and files it on the customer's record. For customer emails, Voco drafts a reply from your own information and you send it with one tap, from your dashboard or WhatsApp. Nothing is sent without you.

How it works

How does Voco handle your email?

Voco handles email in four steps: you forward your inbox, Voco sorts each email, Voco drafts a reply for customer emails, and you send it.

  1. 01

    Forward your inbox

Set your email to forward enquiries to your own Voco address. If Gmail sends a confirmation email first, Voco shows it to you, so forwarding starts first time.

  2. 02

    Voco sorts it

Each email is labelled and filed on the customer's record, next to their calls, chats and bookings.

  3. 03

    Voco drafts the reply

For an enquiry, a booking or a complaint, Voco writes a reply from your services, prices and hours.

  4. 04

    You send it

Read the draft, change it if you like, and send it with one tap from your dashboard or WhatsApp.

Sorting

How does Voco sort each email?

Voco puts every email in one of six groups, and drafts a reply only for the three that come from customers: enquiries, bookings and complaints.

  • EnquiryReply draftedA new customer asking about a job, a price or when you are free.
  • BookingReply draftedA customer booking, moving or cancelling an appointment.
  • ComplaintReply draftedA customer unhappy with something, with a careful reply for you to check.
  • SupplierFiledInvoices, orders and messages from the businesses you buy from.
  • SpamSet asideSales pitches and junk, kept out of your way.
  • OtherFiledAnything else, filed for you to look at.

Sending

Who do your email replies come from?

Voco sends your replies in your business's name, with your own email address as the reply-to, so a customer's answer comes straight back to you.

  • Your business name

Replies go out from Voco's mail service with your business name as the sender and your own address as the reply-to.
  • Or your own domain

Verify your domain with a few DNS records and replies go out from your own address instead.
  • Robots are ignored

Auto-replies, bounces, mailing lists and Voco's own replies are never answered, so no email bounces back and forth.
