How to ask Voco Digitals Ltd, trading as Voco, to delete personal data it holds about you, including data received through Meta and WhatsApp.

1. What this page covers

This page explains how to ask Voco to delete personal data we hold about you. It covers data from calls, text messages, web chat, email and WhatsApp, and data we receive through Meta when a business links its WhatsApp Business account to Voco.

You cannot sign in to Voco with Facebook. Section 3 explains what we receive when a business logs in through Meta to link its WhatsApp Business account.

2. Who it applies to

  • Businesses that use Voco, including account owners and team members.
  • People who contact those businesses: callers, people who message them on WhatsApp, web chat visitors and people who email them.
  • Businesses that link a WhatsApp Business account to Voco through Meta, and the people saved as contacts in it.

If Voco answered your call or message on behalf of a business, that business decides how your data is used and Voco processes it for them. You can ask the business directly, or email us and we will pass your request to them and help them deal with it.

3. Linked WhatsApp Business accounts

We are rolling out a way for a business to link the WhatsApp Business account it already uses to Voco, so that Voco can answer messages for it and send it updates. It may not be available on every account yet. To link, the business logs in through Meta and approves Voco's access. Once linked, Voco receives:

  • The connection details Meta returns: the WhatsApp Business account ID, the phone number and the access token Meta issues for the connection.
  • Messages sent and received on that number, including photos and voice notes, and replies the business sends from its WhatsApp Business app, so that Voco knows when a person has taken over a chat.
  • The contact list in the business's WhatsApp Business app, used so that Voco does not answer people the business has saved as contacts, unless the business chooses otherwise.
  • Past chats from up to the last 6 months, only if the business chooses to import them when it links its account.

Voco does not receive group chats. The business can unlink Voco at any time, as explained in section 8.

4. How to ask for deletion

Email hello@vocohq.co.uk with the subject Data deletion request. Please include:

  • Your name.
  • The business name, if your data relates to one: the business you called or messaged, or your own business if you use Voco.
  • The phone number or email address the data is linked to.

We may ask you to confirm who you are before we act, so that nobody can delete someone else's data.

If a business texted you after a call, the text may include a link to stop Voco remembering you. Open it and press Opt out of being remembered to turn off caller memory. To delete your call history as well, email us.

5. What we delete

  • Call recordings, transcripts, summaries and call notes. Recordings and transcripts are also deleted from the call provider that holds them.
  • What Voco remembers about a caller, and notes staff added about them.
  • Text messages, web chat conversations, emails and WhatsApp messages, including photos, voice notes and their transcripts.
  • For a linked WhatsApp Business account: the connection details and access token, the synced contact list and any imported past chats.
  • Bookings Voco took for you.
  • For a business: account and team details, knowledge base files, uploaded contact lists, and connections to other software, including the access keys we stored for them.
  • Enquiries from our contact forms and newsletter sign ups.

6. What we may have to keep

  • Billing records: invoices, payment records and the date, length and cost of calls, which we keep for tax and accounting for up to 6 years, as set out in our Privacy Policy. Voco never holds card numbers.
  • A record that you opted out, so that Voco does not start remembering you again, and a record of your request.
  • Anything the law requires us to keep.

Data a business sent to other software it connected to Voco, such as its CRM or calendar, is held by that provider. Deleting it from Voco does not delete it there, so ask that provider or the business.

WhatsApp messages also stay in the business's WhatsApp Business app and on the phones of everyone in the chat. Deleting them from Voco does not remove them there.

7. How long it takes

We respond within one month of receiving your request, as UK GDPR requires. If a request is complex, we may need up to two more months, and we will tell you why within the first month. We will confirm by email once your data has been deleted.

When a business ends its agreement with Voco, our Data Processing Agreement sets out how we delete or return its data.

8. Removing Voco's access in Meta

You can stop Voco receiving data from Meta at any time:

  • Your Facebook account: open the Business Integrations section of your Facebook settings and remove Voco.
  • Your WhatsApp Business account: in Meta Business Settings, open the WhatsApp Business account and remove Voco from the apps or partners that have access to it. A linked number can also be disconnected from the settings in the WhatsApp Business app.

Meta changes its menus from time to time, so the Meta Help Centre has the current steps. Removing access stops new data reaching Voco. It does not delete data we already hold, so email us as well if you want that deleted.
