The short answer
Applicants miss viewings for two reasons more than any other. They never properly confirmed, so the viewing was never really in their week. Or their plans changed and moving it felt harder than not turning up. The fix is a short sequence: confirm at the moment of booking, remind the evening before, check in on the morning if they have not confirmed, and make moving or cancelling take ten seconds. A cancellation you hear about is a slot you can fill. A no-show is just a negotiator standing outside a locked door. Voco runs this sequence for every viewing it books.
Why do applicants miss viewings?
Most no-shows are not rudeness. They are a viewing booked at 9pm on a Sunday, between other things, with three other agents doing the same. By Wednesday the applicant has seen another flat, or forgotten which agent was which, or had their shift moved. Ringing to rearrange means calling an office during working hours and waiting on hold, so they do nothing.
That gives you two gaps to close:
- The commitment gap. The booking never became a firm plan.
- The friction gap. Changing the plan was harder than abandoning it.
What sequence closes both gaps?
Here is the sequence Voco runs for every viewing it books, whether the booking came from a call, your website chat, WhatsApp or the property's booking link.
1. A confirmation at the moment of booking
As soon as the viewing is booked, the applicant gets a text confirming the property, the day and the time, with a private link. The link is theirs alone. It shows the booking and lets them move or cancel it.
2. A reminder at 6pm the evening before
The evening before is when people plan tomorrow, so that is when the reminder lands. A viewing booked after 6pm the day before skips this step, because the applicant has only just had the confirmation.
3. A morning check call for anyone who has not confirmed
If you switch it on, Voco rings applicants who have not confirmed on the morning of the viewing: at 8am for a morning viewing, or 9am for anything later. It only rings for viewings booked more than 12 hours earlier, so nobody who booked last night gets a call at breakfast. The call is short. It checks they are still coming, and if not, offers to move or cancel there and then.
4. Moving or cancelling, without ringing the office
From the link, the applicant sees only times that are genuinely free for that property and picks a new one. If you use a connected calendar such as Google Calendar, the event moves with it. If they would rather talk, they can ring and ask Voco to move or cancel the viewing on the call.
A cancelled viewing frees its slot straight away, so it can be offered to the next applicant rather than sitting empty.
What to do on the day of a no-show
Even with the sequence running, some applicants will not turn up. How you handle that afternoon decides whether the property loses a day or loses a week.
- Follow up the same day. A short, friendly message asking whether they would still like to see it often recovers the applicant. People who miss a viewing are often still looking.
- Offer the slot onwards. If you have other applicants waiting, the gap is a viewing you can offer today rather than next week, and a campaign can ring applicants who asked to hear about new properties.
- Write down what happened on the applicant's card, so the next person who speaks to them knows.
Applicants who keep missing viewings
A small number of applicants book and miss more than once. Rather than a policy written in frustration, look at the card history before offering another slot, and ask them to confirm from the link in their confirmation text before the day. Treat everyone the same way: the same rule for every applicant who misses twice, written down and applied consistently.
Setting viewing times you will actually keep
A reminder sequence cannot rescue viewing times that do not work for your team. Before you switch anything on:
- Set viewing times per property, so the flat with a tenant in place only offers times the tenant has agreed to.
- Choose a slot length that includes travel between properties, not just time inside.
- Leave gaps around the busiest days rather than filling every half hour.
Watching viewings on the board
Every viewing sits on your Lettings board under Viewing booked. Once the viewing has happened, move the card to Viewed, and from there on to referencing. A card that is still in Viewing booked the day after the viewing is a no-show you can see, and a prompt to follow up while the applicant is still looking.
Over a few weeks, the board makes it easy to spot which properties and times lose the most viewings. That tells you more than any general rule, because it is about your own applicants.
What it costs
Confirmation and reminder texts are part of booking. The morning check call is a short outbound call, billed like any other call: Voco costs about 29p a minute with no monthly fee and no contract. You decide whether to switch it on.
Viewing reminders use the same engine as Voco's appointment reminders, set up for lettings. The step before this, getting the viewing booked in the first place, is covered in can an AI receptionist answer questions about my properties?.
